Contractor Job Costing Spreadsheet | Excel + Google Sheets Job Profit, Labor, Materials and Payment Tracker + Printable Forms
What have you billed, what has actually been paid, and what did the job cost? Keep job details, materials, labor, invoices, and payments together, with separate views of billed profit and cash surplus. Billed profit subtracts recorded incurred costs from net billed; cash surplus subtracts net costs paid from net received.
Your digital download includes a 3-tab workbook for Excel or Google Sheets for 50 jobs, 500 income entries, and 500 cost entries, plus 3 printable US Letter record pages and a Start Here guide. Files are available together in a ZIP and separately. Choose Excel or Google Sheets; software and Google accounts are not included. The PDF pages are printable, not fillable.

TRACK EACH JOB Job/customer details, stage, dates, agreed pretax value and optional cost budget. Record invoices, invoice credits, receipts and refunds separately. Log materials, labor hours and your actual cost rate, subcontractors, equipment rental, permits, travel and other costs. Cost and supplier credit rows distinguish incurred costs from cumulative payments or refunds.
AUTOMATIC CALCULATIONS Net billed and net received, customer balance or credit, incurred costs, net costs paid, unpaid costs or unapplied credits, billed profit, billed margin, cash surplus and budget remaining. Billed profit is net billed less recorded incurred costs. Cash surplus is net received less costs paid. These figures answer different questions.
TWO VIEWS OF EACH JOB Billed profit: net billed minus recorded incurred costs, including costs still unpaid. Cash surplus: net received minus net costs paid. The included printable Job Profit Record brings both views together with balances, budget remaining, notes and a next action. Preview this page in the listing photos. Print a fresh copy for each job and review period; calculations on paper are completed by hand.
Unique job IDs connect the logs. Record checks flag missing details, duplicate IDs and invalid entries. Incomplete linked entries display review messages in affected totals. Review all warnings, including entries with unknown job IDs. Cream input cells, sage formula cells, dropdowns, table filters and frozen headings help keep records organized.
HOW TO USE
Save a working copy, choose one currency, enter jobs, then record income and costs. Income amounts must exclude sales tax, including the pretax portion of receipts and refunds. Update cumulative payments on each cost row; do not repeat a full cost for each partial payment. See the guide for credits, refunds and labor cost rates.
Excel workbook and Google Sheets version included. For Google Sheets, open the separate access PDF, sign into a Google account and choose Make a copy to save your editable workbook. The shared master is view-only; Excel and Google Sheets copies do not synchronize. Representative billed-profit, unpaid-cost and cash-surplus calculations and incomplete-entry warnings were checked in Google Sheets.
Native desktop Excel was not available for an application-level test. Stay within the stated row capacities and use a new copy when full. The PDF is printable, not fillable.
This complements our separate Contractor Estimate & Invoice Kit. It does not create estimates or invoices or link automatically to that kit. The guide explains how to avoid counting successive cumulative invoices more than once. That kit is not included.
